Troubleshooting & FAQ

When something doesn't work

The most common problems and their fixes. Still stuck? Send us the logs.

A meeting wasn't recorded

  • "License needed to record" notification: the app is in library-only mode. Open Settings → License and activate your key (see library-only mode).
  • Skip was clicked in the "Meeting detected" notification: that meeting isn't recorded. Start it by hand from the tray menu.
  • No notification at all: recording starts when the call app uses the microphone. Check the call is using the microphone (not muted at the system level), and that the tray icon is there (if not, open Meeting Recorder from the Start menu or app menu).
  • The meeting was under a minute: very short recordings (microphone tests) aren't kept.
  • Windows, after quitting: Quit stops watching for meetings until you open the app again or sign in again.

The video shows the wrong screen, or only sound

In the meeting window use Change screen (or tray menu → Screen) to pick the right screen or window. If the screen can't be recorded, the app keeps recording the sound and tells you; pick a screen again from the meeting window.

No transcript or summary yet

  • Transcripts and summaries are made after the meeting, newest first, and wait while another meeting is recording. Long meetings on a computer without a graphics card take longer.
  • If Settings → Power pauses work on battery, plug in.
  • Using an office server: when the server can't be reached, meetings wait (or are done here if this computer has the models).
  • Library-only mode also pauses this work until a license is active.

License problems

  • "Already active on its maximum number of computers": deactivate it on a computer you don't use (Settings → License) or free a slot on your Lemon Squeezy My Orders page. See moving computers.
  • "Connect to the internet so it can be checked": the key hasn't been checked for 30 days. Connect and click Settings → License → Check now.
  • The computer count looks wrong: click Check now; it updates by itself once a day.

Can't connect to the office server

  • Paste the whole URL, including the part after # (…#key=…&fp=…).
  • Check the server is running: on the server, meeting-recorder server status.
  • Port 8791 must be reachable from your computer (server firewall, VPN when away).
  • If the server requires approval, ask its admin to run meeting-recorder server approve <your computer>.
  • If the server was given a new URL (new-url), paste the new one in Settings → Server.
  • "Server mode needs a Business license": activate a Business key on the server (meeting-recorder license activate <key>).

Live assist doesn't answer

  • Live assist needs an NVIDIA graphics card; on other computers the Q&A tab isn't shown.
  • Check Settings → Live assist is on, and the meeting has a tag with a knowledge folder (or earlier meetings with that tag).
  • A new knowledge folder is read in the background first; very large folders take a while the first time.
  • Only real questions are looked up (not small talk). Use the Ask a question box or Look this up (Ctrl+L) any time.

Logs (for support)

In the library: Settings → Debugging: open the log folder, raise the log level, or save the logs as a zip to send us.

  • Windows: %LOCALAPPDATA%\MeetingRecorder\logs
  • Linux: ~/.local/state/meeting-recorder/logs

Email the zip to support@studerworks.com with a short description of what happened (the contact form can't take attachments).

FAQ

Does a bot join my meetings?

No. It records from your own computer, the way a screen recorder would. Nobody in the meeting sees anything join.

Does it work without the internet?

Yes, once installed and activated. It re-checks the license when it can; after 30 days without a check it asks you to connect.

Is anything uploaded?

No. Recordings, transcripts, voiceprints and summaries stay on your computer, or go only to your own office server. Only US-made AI models are used, running locally.

Is there a subscription?

No. You pay once for the version you buy and get every update to it. New major versions are an optional, discounted upgrade for owners.

Which meeting apps does it detect?

Microsoft Teams, Zoom, Google Meet, Slack and other calls in a browser: anything that uses the microphone for a call.

I don't have a graphics card. Will it work?

Yes, on the processor alone, more slowly; setup picks smaller models that fit. Live assist needs an NVIDIA card.

Can I import recordings from elsewhere?

Yes: add folders to scan in Settings → Folders; recordings found there are transcribed and summarized like your own.

Can I get a refund?

Yes, within 14 days of purchase, right away on the refund page. After that we review requests by hand.
